Executive Assistant to Chief Medical Officer & President

As an Executive Assistant, you'll report directly to the Chief of Staff and play a pivotal role in ensuring smooth day-to-day operations for both the Chief Medical Officer (CMO) and President. Your role will involve managing schedules, communications, and administrative tasks while contributing to problem-solving and decision-making processes.
Key Responsibilities:
Serve as a key liaison between the CMO, President, and internal teams, helping to foster strong relationships.
Assist with prioritizing tasks, decision-making, and problem-solving, offering support as a trusted sounding board.
Attend meetings, take detailed notes, and ensure that key takeaways and action items are followed through in a timely manner.
Enter and manage tasks using Jira to support the CMO and President in tracking progress and projects.
Handle communications, including drafting emails, managing inboxes, and scheduling calls on behalf of the CMO and President.
Prepare reports, presentations, and provide thoughtful recommendations to inform strategic decision-making.
Provide travel support, including booking flights, accommodations, and transportation, and managing travel itineraries.
Organize and maintain electronic documents, files, and records, ensuring everything is up-to-date and easily accessible.
Manage the executive calendar, scheduling and prioritizing appointments with flexibility and foresight.
What We're Looking For:
5+ years of experience as an Executive Assistant supporting senior leadership.
Bachelor's degree preferred, but not required.
Strong proficiency in Microsoft Office and Google Suite.
A creative problem-solver who can think outside the box to propose solutions.
Exceptional organizational and multitasking abilities.
Excellent written, verbal, and interpersonal communication skills.
Ability to handle sensitive information with the highest level of discretion and confidentiality.
A proactive, independent worker who thrives in a remote work environment.
Meticulous attention to detail, especially when managing complex calendars and shifting priorities.
Resilience and flexibility to navigate competing priorities and constant change.
Position Details:
Job Type: Full-time
Salary: $65,000/year
Schedule: Monday to Friday, 8-hour shift, day shift (no weekends)
Location: In-person, Palm Desert, CA (Relocation required)
