Executive Assistant to the Chief Medical Officer
We are seeking a dynamic Executive Assistant to provide top-notch administrative and project management support to the Chief Medical Officer (CMO). This role involves managing the CMO's calendar, coordinating meetings and conferences, arranging travel, and assisting with various high-priority projects. The Executive Assistant will also help prepare presentation materials and handle office communications. Key Responsibilities:
Calendar Management: Prioritize and schedule meetings, appointments, and events for the CMO. Attend meetings on behalf of the CMO when needed.
Coordination: Serve as a resource to key teams, including Human Resources, Risk Management, Quality, and Patient Safety, ensuring smooth coordination of activities.
Conference & Event Management: Manage the scheduling of key events like Grand Rounds, Morbidity and Mortality conferences, staff huddles, and trainings. Act as the primary contact for guest speakers.
Correspondence & Presentations: Assist in preparing official communications and presentations, ensuring accuracy and professionalism.
Personnel Support: Help coordinate personnel-related activities, including recruitment, staff evaluations, and health evaluations. Maintain confidential files for medical staff.
Time Management & Approvals: Prepare timesheets and organize time-off requests for the CMO's review.
Onboarding & Training: Support the onboarding and training of new medical providers.
Travel & Meeting Preparation: Arrange travel and virtual meetings for the CMO, handling follow-up tasks and reimbursements. Assist with travel needs for other senior staff as well.
Administrative Support: Answer calls, screen inquiries, and respond to correspondence on behalf of the CMO, CQO (Chief Quality Officer), and CSO (Chief Scientific Officer).
Project Management: Assist with special projects and manage daily office operations, ensuring a smooth workflow.
Credentialing & Learning Management: Support credentialing processes for healthcare staff and manage training logistics with the CQO.
Qualifications:
Bachelor's degree and 3 years of experience in an executive assistant role, preferably supporting senior leadership.
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Strong interpersonal and communication skills, with the ability to work both independently and as part of a team.
Experience with project management and electronic medical records is a plus.
Excellent organizational skills, attention to detail, and ability to maintain confidentiality.
Preferred Qualifications:
Master's degree in healthcare or a related field is highly desirable.
Work Environment & Physical Requirements:
Mostly office-based, with occasional visits to healthcare centers.
Ability to sit, stand, and walk for extended periods, with some light lifting (10-20 pounds).
Work Schedule: Monday - Friday, 40 hours per week.
