WHAT WE'RE LOOKING FOR
Grad Dates: May 2025 & December 2025 grads

Location: Miami, FL
Format: In Person Monday - Thursday and remote on Friday's
Dates: June 2nd - August 8th, 2025

The Live Music Administration Intern supports the Live Music team with day-to-day operations, including onboarding documents, travel, talent review, musician feedback reports, talent recruiting, newbuild Live Music venues, musical instruments inventory & maintenance, and Live Music programming.

KEY RESPONSIBILITES

  • Support the Live Music Operations Specialist with collection of required documentation for new hires and rehire musicians. Ensure all documents are verified and uploaded into the Music Management System (MMS). Inform the position schedulers about potential issues or delays in a timely manner.
  • Prepare various reports as required, including, but not limited to: status reports, talent search reviews, budget analysis and industry trends.
  • Assist with creation/edit/proofing of musical scores as needed for the Live Music department.
  • Assist with travel requests where needed via Crew Travel and Corporate Travel Services and facilitate flight requests via Concur for vendors without Concur access.
  • Support the Live Music schedulers with talent review through live and recorded auditions.
  • Support the vendor account creation throughout the process via the APEX system.
  • Prepare online orders of musical equipment, accessories, and props. Handle shipping of musical supplies to Miami offices and/or the ships.
  • Submit printing orders for the Live Music program, including but not limited to: musical scores, recruitment flyers, posters, photos, etc.
  • Produce audiovisual materials to support Live Music recruitment procedures and advertisements.
  • Perform other duties as required.

QUALIFICATIONS AND EDUCATION 

  • A minimum of one year experience in an administrative role is required.
  • Currently enrolled (Senior or Junior year) in a Bachelor’s or Master's Degree program from an accredited college or university in Music required.
  • Proven success in relationships with schools, colleges, agencies and related resources must be demonstrated.
  • Experience as a performer, in front of live audiences (and therefore having a profound understanding of the complexities and idiosyncrasies of the performing arts) is preferred.
  • Cruise industry experience both shipboard and/or shoreside are preferred.
  • Experience with Microsoft Office required.
  • Proficiency in digital media software such as Photoshop, Premiere Pro, Logic, Finale, and Sibelius is preferred.

SKILLS

  • Possess strong technical knowledge, including brands, makes and models, as it relates to backline and musical instruments with the ability to make appropriate recommendations based on required application, venue size and musical programming.
  • Strong decision-making abilities, ability to think critically, and use independent judgement.
  • Ability to make sound judgment calls and have very effective problem-solving skills.
  • Ability to take complete ownership of a problem and seeing it through to a resolution.
  • Must have excellent presentation and interpersonal skills to communicate in a multicultural environment with all levels of employees and management.
  • Proficient written and verbal communication skills.
  • Ability to read and interpret business documents as well as to write and generate reports and procedures.
  • Able to work long hours and weekends when required.
  • Able to travel as required.

PHYSICAL REQUIREMENTS 

While performing job functions the employee is regularly required to sit, and stand, write, review and type reports, compile data, operate a PC or MAC, communicate, listen, and assess information. The employee may move about the office complex, may travel to other office locations and may lift, push, pull or move 10-15 pounds. The employee is occasionally required to walk to the dock, ascend and descend the vessel. This position may regularly travel domestically or internationally. Visual requirements include distant, close and color vision, and ability to adjust focus.

WORKING CONDITIONS 

The environment includes work inside/outside the office, travel to other offices, as well as domestic, international, and shipboard travel. A high noise level is possible if visiting shipboard or offsite locations.
